File Submission Guide

This practical guide helps you prepare and submit your artwork, logo or personalisation files correctly so your order goes into production without delays. It is a helpful guide, not a legal document. If you are unsure at any point, contact us before ordering - we are happy to check your files at no charge.

1. Accepted File Formats

Format Type Best For
AI / EPS / SVG Vector Laser engraving, embroidery & all decoration - preferred. Scales to any size without quality loss.
PDF Vector / Raster All product types - preferred if exported from a design application at high quality.
PNG Raster DTF, sublimation & personalised gifts. Minimum 300 DPI at print size. Transparent background required for DTF transfers.
We do not accept Word documents (.doc/.docx), PowerPoint files, or screenshots. Low-resolution phone photos and website logos (72 DPI) are not suitable for printing, engraving or garment decoration.

2. Resolution Requirements

  • Resolution applies to raster files (PNG, JPEG). Vector files (AI, EPS, SVG, PDF) have no resolution limit and are always preferred.
  • Minimum: 300 DPI at the intended final print/engrave size. Recommended: 300-600 DPI.
  • A file that is 300 DPI at A5 cannot be printed at A3 without quality loss - always set DPI at your final size.
  • Enlarging a low-resolution image in design software does not increase DPI - it reduces it further.

3. Colour Mode

  • DTF, UV DTF & screen print: CMYK preferred. RGB accepted - minor colour shifts may occur on conversion.
  • Sublimation: RGB preferred - sublimation inks are optimised for RGB.
  • Embroidery: We match to the nearest available thread colour - please specify Pantone or exact codes where possible.
  • Pantone (PMS) colours cannot be guaranteed on digital print processes. Actual colours on physical products may differ slightly from your screen - this is normal.

4. Background & Transparency

  • DTF transfers: Transparent PNG required. Any white areas in your design will print as white ink.
  • UV DTF stickers: White or coloured background accepted. Transparent areas will print as clear.
  • Laser engraving: Use a transparent or white background and clearly indicate which elements should be engraved versus cut.
  • If unsure how your background will print, send us your file for a free pre-production check before ordering.

5. Fonts & Text

  • Always convert all fonts/text to outlines or paths before saving - this prevents text reflow or font substitution.
  • Double-check all spelling and personalisation details before submitting - we produce exactly what is supplied.

6. Bleed & Safe Zone (Stickers, Decals & Labels)

  • Bleed: 2mm on all sides beyond the cut line.
  • Safe zone: Keep all important content (text, logos) at least 2mm inside the cut line.
  • Content outside the safe zone may be trimmed during cutting.

7. Embroidery & Garment Decoration (EU Outfitters)

  • Send your logo as a vector file (AI, EPS, SVG) - we digitise it for embroidery at no extra charge for standard logos.
  • Minimum embroidery size is approximately 20mm - very small text or fine detail may not be achievable.
  • Specify logo placement clearly (left chest, centre chest, back, sleeve) and dimensions where known (e.g. "left chest, 80mm wide").
  • We share a stitch preview for your approval before production on embroidery orders.

8. How to Submit Your Files

  • Upload files via the file-upload field on the product page at checkout;
  • Or email files to sales@eucreations.co.za with your order number in the subject line;
  • For large files (over 25MB), share via Google Drive, Dropbox or WeTransfer;
  • Maximum file size: 100MB per file.
We review every file before production begins. If your file does not meet our requirements, we will contact you before proceeding - we never produce an order we are not confident in.
